How to connect your WhatsApp number for outreach
Open WhatsApp → Numbers in WarmySender, click Connect number, then open WhatsApp on your phone and go to Settings → Linked devices → Link a device and scan the code on screen. It takes about a minute, and if you can't scan you can type a code instead. Connecting is what turns on WhatsApp outreach: once your number is linked you can send personal, paced 1:1 messages and handle every reply in one inbox.
What does connecting a WhatsApp number let me do?
It lets you send paced, personalized 1:1 WhatsApp messages from your own number and read and reply to every conversation inside WarmySender. WhatsApp outreach in WarmySender is deliberately conversational: one person, one message, sent at a human pace — not a broadcast.
Once a number is connected you can build a WhatsApp campaign that messages the people on a list you bring, waits, and follows up only where it makes sense. Every number sends inside a safe budget: up to 60 messages a day in total, of which up to 20 may be first messages to people you have never messaged before, no more than 8 in any hour, with a natural pause of roughly 45 seconds to 2 minutes between messages. New numbers start well below those ceilings and build up over several weeks. Replies you receive never count against anything, and a reply you type yourself is never speed-limited.
WhatsApp is an add-on channel that sits under WarmySender's Multichannel sequences. WarmySender runs your outreach on autopilot with AI agents, across Cold Email, Email Warmup, LinkedIn, WhatsApp, Instagram and Multichannel sequences, plus real-time email verification — so WhatsApp can run on its own or as one step inside a wider sequence.
WhatsApp outreach is a paid add-on at $15 per seat per month, $120/seat per year, or $288/seat for 3 years. Each seat connects and runs one WhatsApp number; add more seats to run more numbers. You manage seats on the billing page.
How do I connect my number, step by step?
You link WarmySender as a device on your WhatsApp account, exactly the way you'd link WhatsApp Web — there is no password to type and nothing to install. The whole flow takes about a minute.
- Go to WhatsApp → Numbers in the left navigation and click Connect number.
- Answer the short question about how established the number is. This is what sets your starting pace — a brand-new number should say so, and it will ease in over its first weeks. See how WhatsApp sending limits keep your number safe for what each choice allows.
- Open WhatsApp on your phone and go to Settings → Linked devices → Link a device.
- Point your phone's camera at the code shown in WarmySender.
- The number appears on the Numbers page as Connected. That's it — nothing else to configure.
The code on screen is only good for a few minutes, on purpose. If it expires before you scan it, just ask for a fresh one and start again — nothing is lost and your seat is not used up.
What if I can't scan the code?
Switch to the "Type a code" option and WarmySender gives you a short code to enter in WhatsApp on your phone instead. Enter your WhatsApp number in full international format — including the country code, for example +14155550123 — and you'll get a code to type into WhatsApp under Linked devices. The number is used only to generate that code.
This is the right path if your phone camera can't reach the screen, if you're connecting from a phone rather than a computer, or if scanning simply isn't working. Both paths produce exactly the same connected number; neither one is safer or faster than the other.
What happens right after I connect?
Your number shows as Connected, WarmySender starts keeping your WhatsApp conversations in sync, and the number begins at the gentle starting pace you chose — not at full volume. That deliberate slow start is the single most important thing protecting a freshly linked number.
A brand-new number begins at 5 first messages and 20 messages a day in its first week, moves to 10 and 40 in its second week, and reaches the full ceiling of 20 first messages and 60 messages a day from its third week. A number that already has genuine history starts higher, and there is an explicit "my number is established" option that starts straight at the ceiling — but the ceiling is still the ceiling, and the hourly limit and the natural pause between messages apply from the very first message either way.
From here you can head to Campaigns and click New campaign, then choose WhatsApp, to build your first sequence — or open your Inbox and switch to the WhatsApp tab to read and answer conversations by hand. If you connected the number purely to handle inbound conversations, you don't need a campaign at all: replies never count against any limit.
Does connecting give WarmySender my WhatsApp password?
No. There is no password in this flow at all — you link WarmySender as a device from your own phone, which is the same mechanism WhatsApp Web and the WhatsApp desktop app use. WarmySender never asks for, sees, or stores a WhatsApp password, and you stay in control from your phone.
Because it's a linked device, you can see WarmySender listed under Settings → Linked devices in WhatsApp on your phone at any time, and you can remove it from there whenever you want. Removing it from your phone disconnects the number in WarmySender too.
Connecting doesn't log you out of WhatsApp on your phone or on any other linked device. Keep using WhatsApp completely normally — a number with real everyday conversations on it is a healthier outreach number than one that only ever sends first messages.
Does it matter whether I use regular WhatsApp or the WhatsApp Business app?
No. Both connect the same way, both send the same kinds of messages, and both sit under exactly the same limits and the same ramp. WarmySender links to whichever WhatsApp account is already on your phone — there is nothing to sign up for, nothing to migrate and no separate registration to complete first.
There are also no pre-approved message templates to submit, no per-message fees, and no approval process to wait through. You write your message in plain language, the way you'd write it yourself, and it arrives as an ordinary WhatsApp message from your number. If your number is registered as a business one, WarmySender shows a small Business chip on its card so you can tell your numbers apart at a glance — that's a label, not a different set of rules.
What matters far more than the app you use is how established the number is and how naturally it's used day to day. A number carrying real conversations is a safer outreach number than a freshly bought one, whichever app it lives in.
Do my existing WhatsApp conversations come across?
Recent conversations on the number come across when you connect, so your inbox isn't empty on day one and anyone who has messaged you before arrives with their history attached rather than as a blank thread. That matters in practice: when a prospect replies weeks later, you can see the whole exchange without reaching for your phone. If a particular conversation ever looks out of date, you can refresh that single thread on demand.
A conversation being visible here never enrols anyone in anything. WarmySender only messages people who are in a campaign audience you built yourself — see how to build your WhatsApp audience. Group chats are the one read-only case: they appear so you can follow along, and you answer them from WhatsApp on your phone.
Your teammates don't need their own connection either. Everyone in your workspace works out of the same WhatsApp inbox and can reply from that number, so a shared team number genuinely is shared — one seat, one number, however many people answering it.
Does my phone need to stay switched on and online?
Not for your campaign to send. Once your number is linked, WarmySender works as its own device: messages go out and replies arrive even while your phone is asleep, out of signal, or charging in another room. You don't need to leave the phone plugged in beside your desk.
WhatsApp does expect your phone to come online now and then. If it stays offline for a couple of weeks, WhatsApp signs out every linked device — this one included — and you'd reconnect by scanning a fresh code. That's a WhatsApp rule rather than a WarmySender one, and keeping the number in normal everyday use satisfies it comfortably while also being the healthiest thing for the number.
Can I keep using WhatsApp on my phone and WhatsApp Web at the same time?
Yes. Connecting adds one more linked device — your phone stays signed in, and so do WhatsApp Web and the WhatsApp desktop app. Nothing is taken away from you, and you never have to choose between using WhatsApp yourself and running outreach on the number.
Keep chatting normally; it actively helps. Messages you send from your phone appear in the WhatsApp tab of your Inbox too, so each thread stays complete no matter where you typed it — and if you answer a prospect from your phone, their automated follow-ups stop just as they would if you'd replied here.
What if I unlink WarmySender from my phone, or change my number?
Removing WarmySender under Settings → Linked devices on your phone does exactly what clicking Disconnect in WarmySender does: outreach on that number stops immediately, and your prospects, conversations and campaign setup are all kept for whenever you reconnect. Neither action deletes anything, and neither one removes your seat.
Changing your WhatsApp number is a bigger event. WhatsApp unlinks every device when you switch numbers, and the new number is a new identity with no history behind it — so connect it here as a new number and let it ramp from the start rather than expecting it to inherit the old number's pace. Conversations on the old number stay with the old number.
How do I reconnect if my number asks to be linked again?
Open WhatsApp → Numbers, click Reconnect on that number, and scan a fresh code the same way you did the first time. Linked devices lapse occasionally — after a long period offline, a phone change, or if the device was removed on your phone — and that's normal, not a sign that anything is wrong with your number.
While a number is waiting to be reconnected, WarmySender pauses outreach on it rather than repeatedly trying to send with a lapsed link. Campaigns using that number pause themselves and your prospects stay exactly where they were in the sequence, so nothing is lost and nobody gets a duplicate. Once the number is healthy again, sending picks up from that same spot on its normal schedule.
How do I disconnect a number?
Open the number's card on the Numbers page and choose Disconnect. That stops all outreach on the number and removes the link from WarmySender. You can also remove WarmySender from Settings → Linked devices in WhatsApp on your phone, which has the same effect.
Your prospects, conversation history, and campaign setup are all preserved, so reconnecting later picks up where you left off. Disconnecting and removing a seat are two separate actions — if you're stepping away from WhatsApp outreach entirely and want to stop being billed, also reduce your WhatsApp seats on the billing page.
Common questions about connecting WhatsApp
Do I need a WhatsApp Business account, or approved message templates?
No to both. WarmySender links to the WhatsApp account already on your phone, whichever kind it is, and regular WhatsApp and the WhatsApp Business app connect identically and sit under identical limits. There are no pre-approved templates to submit, no per-message fees and no approval to wait for — you write the message yourself and it arrives as an ordinary WhatsApp message. What matters far more than the account type is how established the number is and how naturally it's used day to day: a number with real conversations on it is a safer outreach number than a freshly bought one.
Will connecting log me out of WhatsApp on my phone?
No. WarmySender becomes an additional linked device, exactly like WhatsApp Web. Your phone stays signed in, your other linked devices stay signed in, and you can keep using WhatsApp normally throughout.
How many WhatsApp numbers can I connect?
One number per seat, and you can add as many seats as you need. WhatsApp outreach is $15 per seat per month, $120/seat per year, or $288/seat for 3 years, and each seat runs one number. Adding numbers is also the only way to increase your total WhatsApp volume — each number has its own independent daily and hourly budget, and no setting anywhere raises a single number's limits.
The code expired before I scanned it — did something break?
No. The code deliberately lasts only a few minutes, because a long-lived code is a security risk. Ask for a fresh code and scan it straight away. A code expiring never uses up your seat and never leaves a half-connected number behind.
Can I connect a brand-new WhatsApp number?
You can, but say so when you connect it and let it ramp. A brand-new number starts at 5 first messages and 20 messages a day, doubles in its second week, and reaches the full ceiling in its third — and that patience is what keeps it healthy. New numbers are by far the most fragile, so the safest approach is to use the number normally for a while first, then start outreach gently. See how WhatsApp sending limits keep your number safe.
Does connecting WhatsApp affect my email, LinkedIn or Instagram in WarmySender?
No. WhatsApp is a separate channel with its own numbers, campaigns, inbox and limits. Connecting a number changes nothing about your mailboxes, your warmup, or your connected LinkedIn and Instagram accounts. You can run WhatsApp entirely on its own, or blend it into a multichannel sequence — the channels never share or borrow each other's limits.
My number is connected but the inbox looks empty — is that a problem?
Not at all. A newly linked number simply has nothing to show until conversations start. WarmySender keeps your WhatsApp conversations in sync from the moment you connect, so as soon as you send a message from a campaign or receive a reply it appears on the WhatsApp tab of your Inbox.
How do I reconnect a number that asks to be linked again?
Open WhatsApp → Numbers, click Reconnect on that number, and scan a fresh code the same way you did the first time. Linked devices lapse occasionally — after a long spell offline, a phone change, or if the device was removed on your phone — and that's normal rather than a sign anything is wrong. While a number waits to be reconnected, outreach on it pauses and your prospects stay exactly where they were in the sequence, so nothing is lost and nobody gets a duplicate.
Does my phone have to stay online for messages to send?
No. Your linked number keeps sending and receiving while your phone is asleep or out of signal. WhatsApp does sign out every linked device if the phone stays offline for a couple of weeks, in which case you scan a fresh code — normal everyday use of the number avoids that entirely.
What happens if I change my WhatsApp number?
WhatsApp unlinks every device when you switch numbers, so the connection here ends too. Connect the new number as a new number and let it ramp from the start — it's a new identity with no history behind it, and treating it like an established number is the fastest way to lose it. Conversations on the old number stay with the old number.
Can two people on my team use the same number?
Yes, and that's the normal case. A number is connected once, and everyone in your workspace works out of the same WhatsApp inbox and can reply from it — you don't buy a seat per teammate, you buy a seat per number. What you can't do is connect the same number twice to get twice the volume: the daily, first-message and hourly budgets belong to the number, not to the seat.
Do messages I send from my phone show up in WarmySender?
Yes. Your phone, WhatsApp Web and WarmySender are all linked devices on the same account, so a thread reads the same wherever you open it. Most usefully: if you answer a prospect from your phone rather than here, their automated follow-ups stop just as they would if you'd typed the reply in WarmySender, so you never have to remember which device you used.

Common adjacent questions that come up alongside connecting a WhatsApp number.
How many WhatsApp messages can I send a day?
Up to 60 a day from one number, of which up to 20 may be first messages to people you have never messaged before, and no more than 8 in any hour. New numbers start much lower and build up over several weeks. Replies to people who messaged you are free and don't count. Full detail: how WhatsApp sending limits keep your number safe.
How much does WhatsApp outreach cost?
$15 per seat per month, where one seat runs one WhatsApp number — or $120/seat per year, or $288/seat for 3 years. It's a separate add-on from your base plan and from LinkedIn and Instagram seats, so you only pay for the numbers you actually run. Seats are managed on the billing page.
Where do the phone numbers I message come from?
You bring them. Upload a CSV of phone numbers in international format on the Prospects page, or paste them straight into the campaign wizard. WarmySender has no WhatsApp number search — see how to build your WhatsApp audience.
Can I raise my WhatsApp sending limits?
No, and nothing in the product will. The limits are ceilings rather than settings, and WarmySender never loosens them to send faster. If you want more volume, connect another number — each one has its own independent budget.
