Email Warmup FAQ

Everything you need to know about email warmup. Get answers to the most common questions about building sender reputation and improving deliverability.

What is email warmup?

Email warmup is the process of gradually building a positive sending reputation for a new or dormant email account. It involves sending and receiving emails at increasing volumes over time to establish trust with email service providers like Gmail, Outlook, and Yahoo. This helps ensure your future emails land in the inbox rather than the spam folder.

Why do I need to warm up my email?

New email accounts have no sending history or reputation. When you suddenly start sending a lot of emails from a new account, email providers flag this as suspicious behavior and may send your emails to spam. Warming up gradually builds trust signals like reply rates, open rates, and positive engagement that tell providers you're a legitimate sender.

How long does email warmup take?

A typical email warmup takes 2-4 weeks, depending on your starting point and target sending volume. New domains need longer warmup (3-4 weeks), while new mailboxes on established domains may only need 1-2 weeks. WarmySender automatically adjusts the warmup schedule based on your mailbox's health metrics.

How does automated email warmup work?

Automated warmup services like WarmySender send emails between real mailboxes in a network. These emails are automatically opened, marked as important, replied to, and moved out of spam if needed. This creates positive engagement signals that boost your sender reputation. All of this happens in the background without any manual effort.

Can I send cold emails during warmup?

It's best to wait until your warmup is complete before sending cold emails at volume. However, you can start with small volumes (5-10 per day) during the later stages of warmup. WarmySender provides health scores and recommendations to help you know when it's safe to start sending campaigns.

What is a good warmup volume to start with?

New mailboxes typically start with 5-10 warmup emails per day and gradually increase. WarmySender uses adaptive ramping that starts at 5 emails/day and can reach 30-50 emails/day by week 3-4, depending on your mailbox health. The exact progression depends on your account's engagement metrics.

How do I know if my email is warmed up?

A warmed up email typically shows: 95%+ inbox placement rate, spam rate below 2%, consistent daily sending without issues, and positive health indicators. WarmySender provides a health score (0-100) and status indicators that show when your mailbox is ready for campaigns.

Does warmup work with Gmail and Outlook?

Yes, email warmup works with all major email providers including Gmail (Google Workspace), Outlook (Microsoft 365), Yahoo Mail, and any provider that supports SMTP. WarmySender supports both OAuth connections (recommended for Google/Microsoft) and SMTP/IMAP connections for other providers.

What happens if I skip email warmup?

Skipping warmup almost always results in poor deliverability. Your emails will likely go to spam, bounce rates will be high, and you may get your domain blacklisted. Recovering from a damaged sender reputation is much harder than building one properly from the start.

Can warmup hurt my sender reputation?

Properly executed warmup improves your reputation. However, poor warmup practices (like using fake email networks, sending to spam traps, or ramping up too quickly) can hurt your reputation. WarmySender uses only real business mailboxes and conservative ramping to ensure safe warmup.

Should I warm up multiple mailboxes?

Yes, if you plan to send cold emails at scale, it's recommended to warm up 3-5 mailboxes. This allows you to distribute your sending volume, reduce risk if one mailbox has issues, and maintain higher overall deliverability. WarmySender makes managing multiple mailboxes easy.

What is the difference between warmup and email deliverability?

Email warmup is one part of email deliverability. Warmup specifically refers to building sender reputation for new accounts. Deliverability is the broader concept that includes warmup plus email authentication (SPF, DKIM, DMARC), content quality, list hygiene, and ongoing reputation management.

How does WarmySender's warmup differ from competitors?

WarmySender uses adaptive warmup that automatically adjusts based on your mailbox health, has spam rescue that moves warmup emails out of spam folders, provides detailed analytics, and offers subscription plans starting at $14.99/month. Our network consists only of real business mailboxes, not fake accounts.

Can I pause and resume warmup?

Yes, you can pause warmup at any time. When you resume, WarmySender considers your pause duration and may slightly reduce volumes before ramping back up. Short pauses (1-2 days) typically don't affect your progress, but longer pauses may require partial re-warmup.

What warmup strategy should I use?

WarmySender offers several strategies: 'New Domain' for brand new domains, 'New Mailbox' for new accounts on established domains, 'Dormant' for accounts that haven't been used recently, 'Maintenance' for keeping warmed accounts healthy, and 'Recovery' for accounts with deliverability issues. The system can also auto-select the best strategy.

Do I need to warm up a domain or just an email account?

Both matter. Domain reputation and mailbox reputation are separate but related. A new mailbox on a domain with good reputation will warm up faster than one on a new domain. For best results, warm up both your domain (through proper authentication and consistent sending) and individual mailboxes.

How does warmup affect my email provider's sending limits?

Warmup emails count toward your provider's daily sending limits. Gmail allows 500/day for free accounts and 2,000/day for Google Workspace. Outlook allows similar limits. WarmySender respects these limits and coordinates warmup + campaign volumes to stay within them.

What is spam rescue in email warmup?

Spam rescue is a feature where warmup emails that land in spam folders are automatically moved to the inbox and marked as 'not spam'. This sends positive signals to email providers that your emails shouldn't be filtered. WarmySender includes automatic spam rescue in all plans.

Can I warm up a shared inbox or alias?

You can warm up shared inboxes, but each alias or email address needs its own warmup since reputation is tied to the specific address. For aliases that route to the same mailbox, focus on warming up the primary address you'll use for sending.

What metrics should I track during warmup?

Key metrics include: inbox placement rate (target 95%+), spam rate (target below 2%), bounce rate (target below 3%), warmup email volume sent and received, reply rates on warmup emails, and overall health score. WarmySender tracks all of these automatically in your dashboard.

What is the advanced campaign editor?

WarmySender's advanced campaign editor is a rich text email editor with a full formatting toolbar (bold, italic, underline, links, lists, alignment), variable personalization chips, spintax content spinning, live preview, and send-test functionality.

How do I personalize emails with variables?

Click the { } button in the editor toolbar to insert variables like first_name, last_name, company, title, city, country, industry, sender_name, sender_email, signature, and campaign_name. Variables appear as blue chips in the editor and automatically resolve with each prospect's real data when the email is sent.

What is spintax and how does it work?

Spintax lets you create email variations using the syntax {Hello|Hi|Hey}. Each recipient gets a random option selected at send time. You can use multiple spintax blocks that multiply together. Spintax blocks are highlighted in yellow in the editor for easy identification.

Can I preview my email before sending?

Yes, click the Eye icon in the toolbar to open the preview panel. It resolves variables with real prospect data, lets you shuffle through spintax variations, switch between desktop (600px) and mobile (375px) views, and shows how the subject line and preheader will render.

How do I send a test email?

Click 'Send Test' in the editor toolbar (requires at least one connected mailbox). Choose a sender mailbox, enter a recipient email address, and send. Test emails use a [TEST] prefix in the subject line and resolve variables using the first prospect's data.

Can I write HTML directly in the editor?

Yes, click the Code (</>) toggle to switch to raw HTML view. You can edit the HTML directly and toggle back to the visual editor — all formatting, variable chips, and spintax blocks are preserved through the round-trip.

Does the editor support A/B testing?

Yes, in the Campaign Wizard you can create multiple email variants. Each variant has its own independent editor with separate subject, preheader, and body content. WarmySender automatically splits sends between variants.

What happens to emails written in the old editor?

Existing templates and campaigns written in the previous plain-text editor are fully compatible. The editor automatically converts plain text to proper HTML paragraphs, preserving line breaks, bullet points, and formatting.
