Stop emailing the same prospects too often

If you run more than one campaign, the same person can end up on two of your lists. Without a guardrail, they get your outreach twice in a short window — which feels spammy, hurts replies, and can push your messages toward the spam folder. WarmySender's Audience Exclusion Rules solve this. You set the rules once on a campaign, and WarmySender quietly removes anyone who matches before the campaign emails them. Nobody who should be skipped ever gets a message.

What Audience Exclusion Rules do

When you add prospects to a campaign — by importing a CSV, attaching a saved list, or selecting contacts — WarmySender checks each person against the rules you turned on. Anyone who matches is left out of that campaign. The rest are enrolled as normal. You see a count of how many were skipped so there are no surprises.

There are three rules. You can turn on any combination, or none:

Exclusion rules only ever remove people from a send — they never add anyone. If you leave all three rules off (the default), your campaign behaves exactly as it always has and emails everyone you enrolled.

Where to find it

Open the campaign builder for a new or existing campaign and go to the Audience step. Under the exclusions area — right below the option to exclude specific email addresses and domains — you'll find the three Audience Exclusion Rules. Set them, save, and they take effect the next time prospects are added to that campaign.

Example 1 — Don't email anyone contacted in the last 15 days

You send a fresh batch of outreach every couple of weeks, and your lists overlap. You don't want a prospect to hear from you twice inside two weeks.

  1. Open the campaign and go to the Audience step.
  2. In the Recently contacted field, enter 15.
  3. Save. When you add prospects, anyone any of your campaigns emailed in the last 15 days is automatically left out. Everyone else is enrolled.

Set the number to 0 to turn this rule off. A larger number is more cautious (a wider cooldown window); a smaller number lets you re-contact sooner.

Example 2 — Exclude the people from an earlier campaign

You already ran a campaign to one audience and you're about to launch a follow-on campaign to a broader list. You want the new campaign to reach only the people the first one didn't.

  1. Open the new campaign and go to the Audience step.
  2. Under Already in another campaign, select the earlier campaign whose recipients you want to skip. You can pick more than one.
  3. Prefer to exclude everyone from all your past campaigns at once? Turn on Exclude all my previous campaigns instead — that covers every other campaign in your workspace, so you only ever reach brand-new people.
  4. Save. Anyone already in the campaign(s) you chose is removed from this one before it sends.

Example 3 — Exclude everyone on a specific list

You keep a "do not contact" list, a list of current customers, or a list of people a teammate is already working — and you want a campaign to steer clear of them.

  1. Open the campaign and go to the Audience step.
  2. Under On a specific list, select the list (or lists) to exclude.
  3. Save. Everyone on those lists is left out of the campaign, even if they also appear on the list you're enrolling.

Tip: keep a single "Do not contact" list, exclude it on every campaign, and you have a simple workspace-wide suppression you control from one place.

How the rules combine

If you turn on more than one rule, a prospect is skipped when they match any of them. For example, with "last 15 days" and a "Customers" list both on, a person is left out if they were emailed in the last 15 days or they're on the Customers list. The rules only ever subtract people — turning on more rules can only reduce who gets emailed, never increase it.

Bonus — suppress a big list of emails or domains at once

If you have a long list of addresses or whole domains you never want to email — a competitor's domain, unsubscribes you collected elsewhere, a bought "do not contact" file — you can import them in bulk into your workspace blocklist. Go to Settings → Blocklist, click Import CSV, and upload a file with type,value,reason columns (or simple email / domain columns). WarmySender de-duplicates and validates the file, shows you a preview, and adds the new entries. Blocklisted addresses and domains are skipped by every campaign automatically.
