It can happen even to mailboxes that have been warming healthily for weeks. What's actually happening

To warm up your mailbox and send your campaigns, WarmySender connects to your email provider many times throughout the day. Most of the time those connections go through instantly. Every now and then, though, a provider has a brief, temporary connection hiccup — a short window where connections time out or get dropped before they can complete.

When that short window happens, a mailbox can momentarily look like it has a connection problem, simply because WarmySender couldn't reach your provider for a moment. The mailbox itself is perfectly fine. So is your password, and so are your settings — especially if everything was working normally right before. It's the connection that had a brief wobble, not your account.

What the "Reconnecting…" status means

When WarmySender notices it couldn't reach your provider for a moment, it shows a calm "Reconnecting…" status on the affected mailbox instead of a scary red error — because in almost every case that's exactly what's going on: it's reconnecting. You'll also see a single, gentle notice at the top of the page so you're never left wondering. It's a status, not an alarm.

So if you see "Reconnecting…" — or a mailbox that briefly looked disconnected — you can safely leave everything as it is. It means WarmySender is already handling it.

Why several mailboxes can show it at the same time

You might notice several mailboxes go "Reconnecting…" together — and that's completely normal too. Mailboxes that are with the same email provider share the same connection to that provider. So if that provider has one of those brief hiccups, every mailbox relying on it can show "Reconnecting…" at the same moment, and then recover together once the connection settles.

Seeing a cluster of mailboxes reconnect at once can look dramatic, but it's usually a sign of a single short-lived hiccup on one provider — not a problem spread across your account. They'll come back the same way they went: together, and on their own.

What you need to do (almost always nothing)

In almost every case, the answer is: nothing. You don't need to remove and re-add the mailbox, change any credentials, or toggle warmup off and on. Doing so won't bring it back any faster, because the hiccup isn't caused by anything on your mailbox — it clears on its own once your provider settles.

If you'd like to nudge it along, there's an optional "Reconnect all" button on the warmup page. It simply re-checks the affected mailboxes right away instead of waiting for the next automatic retry. It's entirely optional — your mailboxes will recover without it — but it's there if you'd rather give it a gentle push and see them update sooner.

When it's genuinely a password problem instead

Sometimes — much more rarely — a mailbox really does need attention, because the password or sign-in for that mailbox has actually stopped working (for example, you changed your email password, or a security setting on the account changed). That's a different situation from the temporary "Reconnecting…" state.

When that's the case, WarmySender tells you clearly and asks you to reconnect that specific mailbox, with a direct prompt to update its credentials. So the rule of thumb is simple: if you only see a calm "Reconnecting…" status, it's the temporary kind and there's nothing to do. No. Warmup simply pauses for that mailbox during the brief window it can't reach your provider, and then resumes automatically right where it left off once the connection settles. Your warmup progress and history are kept — nothing is reset. Your other mailboxes that aren't affected keep running as normal.

How long does it take to recover?

In most cases it clears on its own, often within a day or so, as soon as the temporary hiccup on the provider's side passes. WarmySender keeps re-checking in the background, so you don't have to watch it or take any action.
