Edit a contact's fields, tags and custom fields
Short answer: every detail on a contact can be changed after it is saved. Open Contacts, find the person, click the three-dot menu at the end of their row and choose Edit. The Edit window shows the same full set of fields you get when you add a contact by hand — name, company, role, website, phone, LinkedIn, WhatsApp, Instagram, country, city, industry, tags and custom fields — and you can add a brand-new custom field there and then. Change whatever you need and click Save Changes; everything you changed is saved together.

How to edit a contact
- Go to Contacts.
- Find the person — use the search box, or open one of your lists in the sidebar.
- Click the three-dot menu at the end of their row and choose Edit.
- Change anything you like in the window that opens. Leaving a field blank clears it.
- Click Save Changes.
There is nothing to re-import and nothing to delete and recreate. The contact keeps its history, its list memberships and its place in any campaign it is part of — you are only changing the details on file.
Which fields can I change?
All of them. The Edit window is grouped into four sections:
- Contact — Email, First Name, Last Name, Company, Role/Title, Website.
- Channels — Phone, LinkedIn URL, WhatsApp Phone (include the country code), Instagram Username / URL. Paste a full Instagram link or just the handle; either is understood, and the handle you end up with is shown under the field.
- Details — Country, City, Industry, Tags.
- Custom Fields — anything else you want to keep about this person.
If you were used to an older, shorter Edit window, this is the change: website, country, city, industry, tags and custom fields are all editable in the app now, not just at import time.
Editing tags
Type tags separated by commas — for example vip, warm-lead, q4. Spaces around the commas are fine and are trimmed for you.
One important detail: what you save replaces the whole tag set. It is not added on top of the tags that were there before. So if a contact already has vip and you want to add q4, type vip, q4 — typing only q4 would leave the contact tagged q4 and nothing else. Clearing the box entirely removes all tags from that contact.
Adding and editing custom fields
Use the "Add Field" button in the Custom Fields section to create a brand-new field on the spot — you do not have to have imported it first. Each row is a field name and a value; the small x at the end of a row removes that field from the contact.
Field names are tidied as you type: they are lowercased, and anything that is not a letter, number or underscore becomes an underscore. So typing Recent Award gives you recent_award. That is deliberate, because the field name is what you type into your emails.
Using a custom field in an email: write {{custom.field_name}} in your subject or body — for example {{custom.recent_award}} — and each person receives their own value. It is the simplest way to make a sequence feel individually written without writing each email.
Like tags, the custom fields you save are the ones the contact ends up with: a row you delete before saving is gone from that contact.
Can I change a contact's email address?
Yes — edit the Email field and save. The one thing that can stop you is a clash: if another contact in your account already uses that address, the save is refused and we tell you so, naming the address involved, so you can update or remove that other contact first. That is on purpose. Two separate contacts can each have their own lists, campaigns and reply history, and quietly merging them would destroy one of them.
If you meant to tidy up a duplicate, deal with the other contact first (see remove from a list vs delete a contact), then come back and change the address.
Does editing a contact affect my running campaigns?
Editing details does not restart anything and does not re-send anything. The contact keeps its exact place in every sequence it is part of, and its history stays intact. What changes is the information used from that point on — so a company name you fix today shows up in the next email that person is due, not in the ones already sent.
Two things worth knowing:
- Personalisation is read at send time. Filling in a missing first name or custom field before the next step goes out is a perfectly good way to rescue a thin-looking email.
- Editing does not make a suppressed address mailable. Someone who unsubscribed, bounced or is on your do-not-contact list stays that way — that protection is not something a field edit can undo.
Ask an AI agent to do it
If you have connected an AI agent to your account, it can change the same fields in plain language. For example: "Set Acme's industry to SaaS and tag them vip", or "Add a custom field called recent_award with the value Best New Tool to every contact at Acme". The agent can update names, company, role, website, phone, LinkedIn, country, city, industry, tags and custom fields, and it can change a contact's status.
Two deliberate boundaries. First, the email address itself is an in-app change — the agent cannot re-point a contact at a different address, because that is exactly where an accidental merge of two real people would happen. Second, the standing safety rule: an agent never sends a message, DM or invite itself, and it can never raise a sending limit. Anything it sets up is handed to WarmySender's scheduler, which paces every action inside safe limits and the gradual ramp no matter who asked for it.
The same fields are available through the public API, so an integration you build yourself can keep contact data up to date the same way.
What about changing many contacts at once?
The Edit window is for one person at a time. For many contacts, you have two practical routes: select several on the Contacts page and use the actions in the bar that appears at the top, or re-import a spreadsheet — uploading a file containing the same email addresses updates the contacts already on file instead of creating duplicates. An AI agent is also a good fit here, since you can describe the change once and let it work through the contacts.
Frequently asked questions
Where is the Edit option?
On the Contacts page, at the end of each contact's row, there is a three-dot menu. Open it and choose Edit. The window that opens has every field on the contact, grouped into Contact, Channels, Details and Custom Fields. Change what you need and click Save Changes.
Why did my old tags disappear when I edited tags?
Because the tags you save replace the whole set rather than being added to it. Type the full list you want the contact to end up with, separated by commas — for example "vip, q4" rather than just "q4". Clearing the box removes every tag from that contact.
Can I add a custom field that did not exist before?

How do I remove a custom field from one contact?
Open Edit, click the x at the end of that field's row, and save. The field is removed from that contact only; other contacts keep theirs.
Can I change a contact's email address?
Yes, edit the Email field and save. If another contact in your account already uses that address, the save is refused and we name the address so you can update or remove the other contact first. That prevents two genuinely different people from being merged into one by accident.
How do I clear a field?
Leave it blank and save. An empty field clears the stored value rather than being ignored, so you can remove a wrong phone number or an out-of-date company without deleting the contact.
Will editing a contact restart or re-send a campaign?
No. The contact stays exactly where it is in every sequence it is part of, and nothing already sent is sent again. New details are used from the next step onwards, which is why fixing a name or a custom field before the next email goes out is worth doing.
Can an AI agent edit contacts for me?
Yes. An agent connected to your account can change the same fields in plain language — "set Acme's industry to SaaS and tag them vip" — including tags and custom fields, and it can change a contact's status. The email address is the exception and stays an in-app change. An agent never sends a message itself and can never raise a limit; WarmySender's scheduler paces everything inside safe limits either way.
Can I edit lots of contacts at once?
The Edit window handles one contact at a time.
