How campaign sending schedules & pacing work

The short version

Your cold email campaign decides when each email goes out using three simple rules, all designed to keep you landing in the inbox:

So if you ever see a campaign marked Running with only a few emails sent — or none yet — that is almost always one of these rules doing its job, not a problem to fix. This guide explains each rule with a worked example, and clears up the most common question: "why isn't my campaign sending yet?"

1. Your sending window (the hours & days you pick)

A sending window is the daily stretch of hours when your campaign is allowed to send. You set a start time and an end time — for example, 9:00 AM to 5:00 PM — and you choose which days of the week send (weekdays only, or including weekends). Outside those hours, and on days you've switched off, your campaign simply rests and waits for the next open window.

Your window is read in the time zone you choose for the campaign. So "9:00 AM to 5:00 PM" doesn't mean 9-to-5 wherever your computer happens to be — it means 9-to-5 in the campaign's time zone. Every time WarmySender shows you for the campaign, including the next email time, is shown in that same time zone so it always matches the window you set.

Your emails only ever send inside your window. If a send would naturally fall outside it — say, late at night — it's automatically held and goes out at the start of your next open window instead. The window is a firm boundary, not a suggestion. A short, focused window (like business hours in your prospects' time zone) is a healthy default: it lands your emails when real people are reading, and keeps your daily volume natural-looking.

2. Even pacing — your day's emails spread evenly across the window

When you launch a campaign, WarmySender does not send every email the instant you press start. Instead, it takes the emails due to go out that day and spreads them evenly across your whole sending window — from the start of the window to the end — rather than bunching them all up at the beginning.

This is a deliberate improvement. Sending in one big burst at the top of your window (all in the morning) is one of the clearest fingerprints of automated bulk mail, and a fast way to land in the spam folder. Releasing your emails at a calm, regular rhythm across the day looks like a real person sending real email — which is exactly what keeps you in the primary inbox.

What it means for you day to day:

In short: "Running" with a count that rises gradually through the day is the system pacing your sends to keep you out of spam — not a sign that something stalled.

3. Your daily limit — sending pauses for the day, then resumes tomorrow

Every campaign has a daily limit — the most emails it will send in a single day — and your plan has an overall daily cap too. These limits exist to protect your sender reputation: sending a huge number of emails in one day, especially from a newer mailbox, is exactly what triggers spam filters and damages your standing with email providers.

When your campaign reaches its daily limit, it pauses sending for the rest of that day and automatically resumes the next day when your window opens again. Any prospects who didn't get an email today simply wait their turn tomorrow. This is completely normal — the campaign is still Running and healthy; it has just done its safe amount for the day.

If you want more emails to go out per day, you can raise the campaign's daily limit, add more connected mailboxes so your volume is shared across several senders, or move up to a plan with a higher daily cap. A worked example

Say you set up a cold email campaign with 120 prospects, a sending window of 9:00 AM to 5:00 PM (an 8-hour window), the campaign's time zone set to New York time, and a daily limit comfortably above 120. You launch it at 9:00 AM.

So "Running but only a couple sent at 9:05" is the system doing its job: pacing your 120 sends evenly across the window, staying inside your hours, and stopping for the day if it reaches your limit.

Knowing when the next email goes out

You never have to guess when the next email will send. On a Running campaign, WarmySender shows a small on-screen indicator with the time of the next scheduled email — for example "Next email ~2:10 PM" in the campaign's time zone. If the very first emails are just starting to go out, it instead reads "First emails sending now…" so you know they're on their way.

This indicator is your at-a-glance confirmation that everything is on track. If it shows an upcoming time, your campaign is pacing normally — there's nothing else for you to do but let it run.

"Why isn't my campaign sending yet?"

If your campaign says Running but nothing has gone out, it's almost always one of two completely normal, expected reasons:

  1. You launched it after today's window had already closed. If your window is 9:00 AM to 5:00 PM and you launch at 8:00 PM, there are no sending hours left today — so the campaign waits and starts at your next window open (for example, tomorrow at 9:00 AM). Same thing if you launch on a day you've switched off: it begins on your next active day. The on-screen "next email" indicator will show that upcoming start time.
  2. It already reached today's limit. If the campaign has sent its daily allowance (or your plan's daily cap is reached), it pauses for the day and resumes tomorrow. This is the daily limit protecting your reputation, and it's working exactly as intended.

A third, gentler reason: right at the very start of your window, or in the first minutes after launching, you may see zero or just a couple sent while the even pacing begins releasing emails. Give it a little time inside your window and the count will start to rise. In every one of these cases the campaign is healthy — there's nothing to restart, re-launch, or reconfigure.

Changing your window, days, time zone, or daily limit

You can adjust all of this in the campaign's schedule settings. Open the campaign, go to its schedule settings, and change the start and end times, the active days, the time zone, or the daily limit, then save.

Your upcoming sends automatically realign to whatever you change — you don't need to rebuild the campaign or re-enroll your prospects. If you widen the window or raise the daily limit, more emails can flow the same day (still paced evenly and still inside your hours). If you narrow the window or lower the limit, future sends simply follow the new, gentler schedule. A tip: it usually works best to send during your prospects' working hours rather than your own, which tends to lift open and reply rates.

Common questions

Why did my campaign send everything in the morning?

It shouldn't anymore. WarmySender now spreads your day's emails evenly across your whole sending window instead of releasing them all at the start.
