Why do I only see some replies in my inbox?

Short answer: the WarmySender inbox is a campaign-reply surface, not a second copy of your mailbox. It shows the conversations your campaigns started and the answers they earned — not every message that arrives in your email account. Warm-up emails, delivery-failure reports and mail from people who are not in your campaigns are never copied into WarmySender: they stay in your own mailbox, where you read them exactly as you always have. Nothing has gone missing.

WarmySender runs your outreach on autopilot with AI agents, across Cold Email, Email Warmup, LinkedIn, Instagram and Multichannel sequences — plus real-time email verification. The Unified Inbox is where the answers to all of that land, in one screen.

What appears in the inbox, and what does not

Five things follow from that, and they are worth knowing before you count replies:

A worked example of the Sync summary

Say you press Sync and get this back:

Checked 365 emails: 300 already in your inbox, 24 warmup emails, 2 delivery reports, 39 from people who are not in your campaigns.

That is a complete account of all 365 messages, and every one of them is exactly where it should be:

LineWhat it meansWhere to find it
300 already in your inbox Campaign conversations you already have. They were checked again and nothing about them changed. The Email tab, where they have been all along.
24 warmup emails Warm-up messages travelling between mailboxes to build your sending reputation. They are not outreach and never become conversations. Your own mailbox, identifiable by the reference tag in the subject line. Warmup activity itself is on the Warmup screen.
2 delivery reports Notices that a message could not be delivered. Each one marks that prospect as bounced rather than opening a conversation. The campaign's delivery issues view, and the prospect's own status.
39 from people who are not in your campaigns Ordinary mail — newsletters, invoices, colleagues, anything else that arrived in the same mailbox. It was never a campaign answer. Your own mailbox only. It is never copied into WarmySender.

The number that used to worry people is the last one. A line like "41 were from senders not in your campaigns" can read as though 324 replies disappeared — they did not. Every message that was a reply to your outreach is in the Email tab; the rest were other people's mail, and WarmySender deliberately never touches it.

Why doesn't WarmySender just show me everything?

Because it is not a mail app, and you already have one. Two reasons this is deliberate:

Where do bounces go?

Not into the inbox. When a message cannot be delivered, the delivery report that comes back is treated as a bounce rather than as an answer, so it never opens a conversation and never counts toward your reply rate.

What happens instead: that prospect is marked as bounced, the campaign's delivery issues view lists them, and the prospect's own status on the campaign's Prospects tab shows it too. That is where to look when a send count and a delivered count do not agree. A prospect who bounced in one mailbox is also skipped automatically in your other mailboxes in the same workspace, which protects your sending reputation — see why was this prospect skipped — bounce.

A colleague replied instead of the prospect — what now?

You will see it. When an answer arrives from a different address than the prospect you enrolled — an assistant, a colleague, a shared team inbox, or the same person writing from a second address — but it is a reply on the conversation your campaign started, it is shown in that thread and marked unread, so it cannot slip past you.

What it does not do is stop that prospect's sequence by itself. That is deliberate: the message did not come from the person you enrolled, and WarmySender will not guess that "out of office, ask Dana" or an automatic ticket acknowledgement means the prospect is done with you. You decide. If the reply means the conversation has started, stop the sequence yourself — either from the conversation in the inbox, or by stopping that prospect on the campaign's Prospects tab. It takes one click and it is immediate: any step that has not gone out yet is cancelled.

A reply from the prospect's own address behaves differently — it stops their remaining steps automatically, on every channel in the sequence. That behaviour is covered in full in how stop-on-reply works across channels.

Can an AI agent read my inbox for me?

No — and that is deliberate. There is no tool that lets a connected agent read your inbox threads or send a reply on your behalf. Conversations with real people who have already answered you stay yours to read and answer in the app.

Everything around the inbox is fair game. Connect Claude, ChatGPT, Cursor, Codex, OpenClaw, or Hermes Agent — or any agent that speaks MCP — and it can build, launch, pause and resume cold email, LinkedIn, Instagram and WhatsApp campaigns, create and enroll prospects, verify email addresses, configure warmup and read your stats, all in plain language. Even then the agent never sends a message, DM or invite itself and can never raise a limit: creating or launching a campaign only writes it and hands it to WarmySender's scheduler, which paces every action inside safe caps and the gradual ramp no matter who triggered it. Connecting and disconnecting accounts stays in the app.

Frequently asked questions

Why do I only see some of the emails I received?

Because the inbox is a campaign-reply surface, not a second copy of your mailbox: it shows the conversations your campaigns started and the answers they earned. Warm-up emails, delivery-failure reports and mail from people who are not in your campaigns are never copied into WarmySender — they stay in your own mailbox, where you read them exactly as you always have. When you press Sync, the summary breaks down everything it checked: already in your inbox here, warm-up emails, delivery reports, and mail from people who are not in your campaigns. A large number in that last group is not missing replies; it is ordinary mail that was never a campaign answer.

Someone who is not on my prospect list wrote to me — will I see it?

Only if their message is a reply on a conversation one of your campaigns started. When a colleague, an alias or a shared team inbox answers on the prospect's behalf, that reply is shown in the thread and marked unread — but it does not stop that prospect's sequence on its own, so stop it yourself from the inbox or from the campaign's Prospects tab. A message from someone with no connection to your campaigns is never copied into WarmySender at all: it stays in your own mailbox.

What does "39 from people who are not in your campaigns" mean?

It means 39 of the messages checked were ordinary mail — newsletters, invoices, colleagues, anything else that landed in the same mailbox — and none of them were an answer to your outreach. They were counted so the summary adds up, and then left alone. They are not stored in WarmySender, so you read them in your own mailbox as usual. In the worked example "Checked 365 emails: 300 already in your inbox, 24 warmup emails, 2 delivery reports, 39 from people who are not in your campaigns", all 365 are accounted for and none of them are lost replies.

Why don't warm-up emails show up in my inbox?

Because they are not outreach. Warm-up messages travel between mailboxes to build your sending reputation, and if they appeared in the inbox they would outnumber your real answers many times over. They carry a reference tag in their subject line — that tag is also what lets you file them away in your own mailbox with an ordinary inbox rule. Your warmup activity and its results live on the Warmup screen instead.

Where do bounces and delivery failures show up?

Not in the inbox. A delivery report is treated as a bounce rather than an answer, so it never opens a conversation and never counts toward your reply rate. That prospect is marked as bounced, the campaign's delivery issues view lists them, and their status on the campaign's Prospects tab shows it too. A prospect who bounced in one mailbox is also skipped automatically in your other mailboxes in the same workspace, which protects your sending reputation.

A colleague replied for my prospect — does that stop the sequence?

Not on its own. The reply is shown in the thread and marked unread, but because it did not come from the person you enrolled, WarmySender will not decide on your behalf that the prospect is finished — an "out of office, ask Dana" or a ticket acknowledgement is not the same as the prospect answering. Stop the sequence yourself when the reply means the conversation has started: from the conversation in the inbox, or by stopping that prospect on the campaign's Prospects tab. Any step that has not gone out yet is cancelled immediately. A reply from the prospect's own address does stop their remaining steps automatically, on every channel.

Can I search my whole mailbox from WarmySender?

No, and that is on purpose. Only campaign conversations exist here, so search covers your outreach and the answers to it — not the rest of your mail, which is never copied in. For anything else, your own mailbox is still the place to look, and it is completely unaffected by anything WarmySender does.
