Why is my contact count higher than my lists?

Short answer: every contact in your account counts toward your plan's contact limit — whether or not it's in a named list. Some contacts are added to your account without being placed in any list (most often people you import from LinkedIn, plus a few other flows), so they don't show up in your list counts but still take up space. That's why the total at the top of your Prospects page can be larger than the sum of your lists. To see exactly which contacts aren't in a list, open the new "Not in a list" view on the Prospects page — then add them to a list to organize them, remove the ones you don't need to free up space, or upgrade for a higher limit.

WarmySender is a 4-pillar outreach platform — Cold Emailing, Email Warmup, LinkedIn Outreach, and Multichannel sequences. Your contacts are shared across all of them, and every one of them counts toward your plan limit — including the ones you bring in from LinkedIn.

Why is my total higher than my lists add up to?

Because a contact doesn't have to be in a list to count. Your plan's contact limit is based on every person in your account, not just the ones you've filed into named lists. Lists are an organizing tool — a way to group people for a campaign — but a contact can exist in your account without belonging to any list at all.

The most common way this happens is LinkedIn imports: when you bring people in from LinkedIn, they're added to your account so you can reach them, but they aren't automatically dropped into one of your named lists. A few other flows can add contacts without a list too. None of those contacts appear in your list counts — but they still use space against your plan limit. So if you add up your named lists and compare the total to your plan usage, the plan usage will be higher by exactly the number of contacts that aren't in any list.

How do I open the "Not in a list" view?

Go to the Prospects page and click "Not in a list" in the lists sidebar on the left.

  1. Open the Prospects page.
  2. In the lists sidebar on the left (where your named lists appear), click "Not in a list".
  3. You'll see every contact that isn't in any named list, gathered in one place.

This view only appears when you actually have contacts that aren't in a list, and it shows its own count so you can see at a glance how many there are. As the in-app note explains: these contacts aren't in any list, but they still count toward your plan — so this is where you tidy them up.

What can I do with contacts that aren't in a list?

Three things — organize them, remove them, or make more room. From the "Not in a list" view you can:

Adding contacts to a list and removing contacts do different jobs: adding to a list is about organizing (your total stays the same), while removing contacts — or upgrading — is what changes how much room you have.

A worked example

Suppose your named lists add up to about 3,443 contacts, but the usage at the top of your Prospects page reads 10,000 / 10,000 — full. That gap isn't a mistake, and nothing is double-counting you: the difference is made up of contacts that aren't in any list, most often people imported from LinkedIn.

Open "Not in a list" to see exactly who those contacts are. From there you can add the ones you want to keep to a list (so they're organized and easy to use in a campaign), remove the ones you don't need (which frees up space against your 10,000 limit), or upgrade to a higher plan if you want to keep them all. Once you remove enough contacts you no longer need — or upgrade — you'll have room to add new people again.

Frequently asked questions

Why is my contact count higher than my lists?

Every contact in your account counts toward your plan's contact limit whether or not it's in a list. Some contacts — most often people imported from LinkedIn — are added to your account without being placed in any list, so they don't show up in your list counts but still take up space. Open the "Not in a list" view on the Prospects page to see exactly who they are.

Do LinkedIn contacts count toward my contact limit?

Yes. Contacts imported from LinkedIn are added to your account and count toward your plan's contact limit, even though they aren't automatically placed in a named list. You'll find them together in the "Not in a list" view on the Prospects page, where you can add them to a list, remove the ones you don't need, or upgrade for a higher limit.

How do I free up space without upgrading?

Open the "Not in a list" view on the Prospects page and remove the contacts you don't need — deleting a contact frees up a slot against your plan limit. Adding contacts to a list only organizes them and doesn't change your total; removing contacts (or upgrading) is what changes how much room you have.

Where do I find the "Not in a list" view?

Go to the Prospects page and click "Not in a list" in the lists sidebar on the left. It gathers every contact that isn't in any named list, and it appears whenever you have contacts that aren't in a list. From there you can select contacts to add them to a list, remove ones you don't need, or upgrade for more capacity.
